SmartMoving, my tools, and how they connect

Sarah, you told me two things are wearing you out. You're on the phone all day, and every estimate still takes about an hour after you hang up. And the job on move day keeps turning out bigger than the one on the phone.

This page has three parts: what SmartMoving can already do about both, what I'd build for the part it can't, and how the two work together. Prices are at the end.

1. What SmartMoving offers

Most of this you already pay for and haven't turned on yet. Each item is tagged with the problem it helps.

Phone less time on the phone Surprises fewer move-day surprises

Already in your plan

$0 more

One checklist for every call

Surprises

Your 12 usual questions saved in SmartMoving, so every quote asks about stairs, the garage and the piano, no matter who takes the call.

An estimate that lists what's moving

Surprises

Right now your estimates show the hours and the rate. They can also show the list of what's moving and the truck you'll show up in, so when a customer accepts, they're accepting the list.

Automatic texts

SurprisesPhone

Five days out: "Here's your list, anything new?" Plus a nudge when a quote goes quiet, a "check your junk folder" line, and reminders so booked customers don't call to ask what time.

Customers list their stuff online

Surprises

Customers can add or update their items room by room from their phone. That's where the five-day text sends them.

The crew phone app

SurprisesPhone

Your plan includes it for up to 50 crew members. The crew lead opens the job on their phone and sees the whole list and the notes, not a cropped calendar screenshot.

A list check at the door

Surprises

Before the clock starts, the crew lead runs through the list with the customer and adds anything new, so "you said 20 boxes" is in writing.

Three things I'll confirm inside your account before I promise them: how the list shows on your estimate, the exact setting for the five-day text, and whether the list check at the door is on your plan (SmartMoving still calls it a beta).

If you move up a plan

About $65 more a month

Growth, SmartMoving's next plan up

Connects Mailchimp (for your realtor and past-customer emails) and QuickBooks. It's also the plan that lets you buy the add-on below.

The add-on that lets my tool type into SmartMoving

PhoneSurprises

$149 a month, on top of Growth. SmartMoving calls it the Premium API. With it, my tool can fill in a customer's job for you instead of you pasting it in. More on that in part 3.

One extra worth knowing about

Price not published

Smart Scout, SmartMoving's AI receptionist

Phone

It answers the calls you can't get to (after hours, or while you're on another line), takes the move details and drafts an estimate for you to review. It only works on calls it answers, not the ones you take yourself. Ask your rep for the price if after-hours calls are a problem.

What SmartMoving can't do

  • Turn the calls you take into a written estimate. Its AI only works on calls it answers itself.
  • Write each estimate for you. Its templates are the same words for every customer, and you still type everything after the call.

2. What I offer

The piece SmartMoving doesn't have, plus setting up everything in part 1 so you don't have to learn it while answering the phone.

Your call, turned into an estimate

PhoneSurprises

Record the call on your iPhone like you already do, then share it to the tool. A few minutes later you have a draft. You check it, set the price and send it. The goal is under 10 minutes per estimate instead of an hour.

It learns from the calls you already sent me. I'd build it in January, during your slow season, so it's ready before spring.

It comes with 30 days of fixes and a walkthrough call once it's live.

What you get from each call

  • A draft estimate that sounds like you, with a line about something from the call (the new baby, the dogs)
  • Everything they said they're moving, room by room, with glass, pianos and light upholstery flagged
  • What didn't get asked: "No stairs info. No email." So your follow-up text asks exactly that.
  • A starting crew size and hours, using your own rules of thumb, for you to change. You and the crew still decide.
  • A short "here's what we talked about" for customers who only wanted a number on the phone, so they still get your terms in writing

Setting up part 1

The checklist, the new estimate layout, the automatic texts, the crew app, and your templates rewritten to sound like you. I set it all up, walk you through it, and fix anything that's off for 30 days.

A phone line that records every call

Optional. A business phone app on your iPhone (Quo) that records every call on its own, so there's no button to remember, and sends the calls straight to the estimate tool. You keep your same number; it moves into the app. We'd talk it through before doing anything.

Optional: Handled Assist

$250 a month

For after the first 30 days. You send me what you need, I take care of it, so nothing slides back to the way it was and you're not learning SmartMoving between phone calls.

  1. Text or email me whenever something comes up. A text to reword, a reminder to change, a draft that keeps getting something wrong.
  2. I handle it within 48 hours, one request at a time.
  3. Up to about 2 hours of changes a month. Anything bigger, like a new tool, I'll quote before I start.
  4. If something I built breaks, I fix it, and that doesn't count toward the 2 hours.
  5. The estimate tool's $25 monthly fee is included.

No standing meetings. You can skip Assist: everything still works, and the estimate tool is $25 a month on its own.

3. How they work together

My tool works either way. The only question is whether you paste the draft into SmartMoving yourself, or pay SmartMoving for the add-on that lets the tool fill it in for you.

On your plan today: you paste it in

  1. You

Record the call and share it to the tool.

  2. My tool

Writes the draft: the estimate, the list and what didn't get asked.

  3. You

Paste it into the customer's job in SmartMoving. About 2 minutes.

  4. You

Set the price and send the estimate.

  5. SmartMoving

The customer accepts it. The automatic texts go out. The crew sees it in the app.

The trade-off: the list lands as notes, not as SmartMoving's checklist of items. The crew still sees all of it. But the customer's online list starts blank, so the five-day text asks them to fill it in rather than check it.

SmartMoving cost: nothing extra.

With the add-on: it fills itself in

  1. You

Record the call and share it, or it arrives on its own with the phone line.

  2. My tool

Writes the draft: the estimate, the list and what didn't get asked.

  3. Add-on

Fills in the customer's job: the items room by room, the move size and date, a call summary, and the recording.

  4. You

Open it, set the price and send the estimate.

  5. SmartMoving

The customer checks the actual list. The five-day text asks "anything new?" about that list. The crew starts from it.

Why pay for it: one list goes from your call to the customer to the crew, and nobody retypes it.

SmartMoving cost: Growth (about $65 more a month) plus the add-on ($149 a month).

Either way, nothing reaches a customer without you. The add-on can fill in a job, but it can't send a text, an email or an estimate. You still hit send.

What the estimate tool could give back: you sent 19 quotes in 26 days, about 5 a week. At an hour each, that's 5 hours a week. If it hits the under-10-minutes goal, that's about 4 hours a week back. On SmartMoving's prices: the add-on's $149 is from SmartMoving's help center, and Growth's price comes from software review sites. Neither is on SmartMoving's pricing page, so worth confirming with your rep.
